So here we are with the AGM folks.
We have 7 members present!
Presidents report:
Started rocky, he was abroad, handover wasn't as smooth as should have.
Few problem with lack of budget. But we managed to make it work, sadly had to increase membership fees to make up for deficit at start of year.
Hopefully new members didn't mind too much.
Only two people used Library, next time push for library.
We also carried on with Tuesday nights, had a few clashes with other societies namely JapSoc and FilmSoc.
Wednesday test brought little benefit.
Sunday showings, started half way through year, before christmas had more members. Starting earlier is good.
Weekend Away, had a fun time, expensive, looking back, haphazardly arranged, shame couldn't go abroad, considering we never had real numbers. But trip still went hitch-free.
Library is growing, A lot more films, will consolodate the rest, And list made availible on website.
Domain was set up for 2 years, 1 year for hosting. Need to rehost come september.
Unions new system of online membership, easier on society, some problems signing up, but we managed to get a fair few members. only 2 paper memberships, online=success.
Freshers Fair, attended 3, international and freshers fair 1 & 2, fair 2 was small.
Advertising was redone, expensive, new banners, badges, raised attention, unsure affect on memberships.
No t-shirts, save designs for next year. There was interest. Future potential. Must start early and lock people in. Buy them early.
Rooms- have been problematic, 1st semester, room 8 background noise from Riley Smith, slight problem. Semester 2, not ideal, the light! Sci-Fi and anime moved there. General trend it seems, what we ended up with was a probelm, problem relayed to Jess.
If stuck with Baines wing next year, society needs room without emergency light. If found with a similar room next year, will be a squeeze. As first showing had 20+ attendees.
Numbers- started show, 20+, retaining members a problem.
No social sec, wasn't established, no set outing after showings, need a social sec.
Summary:

Social are better this year. Can be improved.
Treasuer:
2 GIAG, no funding at all! unspecified day and not put into GIAG book
22 members, doing stuff for free,
Got contact 10 companies, tartan, 3rd window, terracotta etc. advertising publicity
Got free films from terracotta and 3rd window before film release
now got 200+ films.
Not spent much.
Got a fair amount in account, will decide on spending.
Flyers were paid for outselves
Hard drive for library, concensus is ok. have DVDs already!
Library suggestions, none.
e-mail them...
Society has a DVD player, no remote, anyting can be done to it.
New remote? £15, can get dvd player with that.
Fund the SSS through own money, selling tickets.
Emails, current list is quite big. ask if people want to be kept next year.
Set a regular date for sending e-mails.
Constitution:
Showing a week.
Generic society rules
Matt is tabling a formal presidential vito, i.e the appropriatness of films.
Should only be used if something is border line Unions code of acceptablility.President has say on suitableness of films.
Committee vito, committee can vote for blocking films, 2 of 3 to pass.
Events and monthly is set up by committee, not so open.
President had to send a thing at start of year, blurb, code of practice, what we provide and recieve of members. social contact.
NEXT YEAR:
Clashes, wednesday and thursday are no?
Social Sec- position open all year, no one filled.
No other positions need opened.
Move library to forum, members only,
Paper copy of library for freshers fair,
Storage, security broke it after 2 weeks.
Lost locker, items retrieved!
Time limit had not run out.
Need storage space, if consolidated into HD means less space needed.Discs need storage, unless committee is ok with keeping themselves.
Dis-likes,
Earlier showings, 18:30 do not wnat
19:00 is better.
Films are long, extend showing times?
Depends on Union, issue should be dealt with next year.
Time of Sunday showings, 4 ok?
Only showed 2 of 3 films.
Every other sunday now, change to monthly? easier to remember.
Big events, Halloween.
Make it fall on Sunday? next committe will decide.
Events:
christmas event, no christmas films. Valentines day
more cultural events, lookup international events.
One sunday showing the Kurosawa, death aniversary?
Next years committe, should out up calender early on, set to stone. advertise earlier to freshers!
People turn up with films, should post up name on forum. Forum is quiet
Should we show trailers instead of reading blurb?
